The components of a Formal Letter:
1. Sender’s Address- The address of the person who is writing the letter.
2. Date- It will be written in the format i.e. 10 November 2020
3. Recipient’s address- The designation and address of the person or company to
whom the letter is sent.
4. Subject- The purpose of writing the letter is mentioned in this statement. It
should be short and precise.
5. Salutation- the greeting should be formal and polite. TO be written as Dear
Sir/Madam or Sir/Madam. Don’t use any comma
6. Introduction-It should state the purpose for writing the letter- to make enquiry,
complain, request, etc. It should be of one or two sentences and include most
important details.
7. Body of the letter- It includes the details of the letter. It should be direct and
polite. Be sure to wrap with a suitable sentence like ‘I look forward to hearing
from you soon.’
8. Complimentary Closure- Always end your business letter with a professional
closing. Examples ‘Yours humbly’, ‘Yours sincerely’, ‘Yours truly’. Do not use
comma after complimentary close.
9. Name and Signature- Your name should be your first, middle initial, if you have one,
and your last name. Include any appropriate suffixes to your name, such as MA or MD.
If you are writing for a business or organization, you should include your position
immediately below your typed name. Leave a line between the closing line and typing
your name so that you can sign the business letter. Once you print the business letter,
sign your name immediately above your typed name in blue or black ink.
